Wave Hill is a 28-acre public garden and cultural center in the Riverdale section of the Bronx, overlooking the Hudson River and Palisades. Its mission is to celebrate the artistry and legacy of its gardens and landscapes, preserve its magnificent views, and explore human connections to the natural world through programs in horticulture, education, and the arts.
Wave Hill is seeking a Public Programs Assistant to support public programs in a world-class garden with diverse programs, including gardening, nature, art, and wellness. The Public Programs Assistant provides essential administrative and hands on program support for the department and plays a key role in successful outcomes for the whole team. The Public Programs Assistant reports to the Director of Public Programs who will set priorities but also takes direction on specific projects from the Public Programs Manager and Senior Horticultural Interpreter. This position includes both indoor and outdoor work and occasional weekends or evenings.

Responsibilities: These include, but are not limited to:
Administrative Support
- Database: build programs in Altru (Wave Hill’s constituent management system used by Public Programs for ticketing, registration, and scheduling programs); create reports and pull statistics
- Communicate with program participants by email and phone.
- Provide general administrative duties for the department, such as setting up meetings, booking conference rooms, tracking department expenses, etc.
- Perform budget-related responsibilities including, but not limited to, completing invoices, processing check requests, and updating budget sheets.
- Create and manage contracts/letters of agreement with instructors and consultants and maintain the instructor database.
- Ensure public programs' information on the website and social media is accurate and up to date. Report any requirements for updates and changes to the marketing department.
- Source and order program materials and office supplies and organize supplies and storage areas.
Program Support
- Check-in program participants for occasional weekend and evening programs.
- Work with public program staff to implement programs during the week and some larger themed event weekends throughout the year.
- Record minutes at monthly Garden Guide meetings and send updates to volunteers.
Technical Support
- Provide technical support for onsite and virtual lectures and classes, including setting up and running Zoom and audio-visual equipment set ups and troubleshooting.
Requirements:
- CMS Database management experience – Altru, Razor’s Edge, Tessitura or similar. Additional training provided by Wave Hill.
- Proficiency in Microsoft Office applications (Word, Outlook, Teams, and beginner level Excel and PowerPoint) An understanding and familiarity with audio-visual equipment set-up, running and troubleshooting Zoom meetings and webinars, etc., or willingness to learn.
- Must have a flexible schedule and be available on the weekends.
- Ability to interact amiably and effectively with staff, instructors, volunteers, program participants and the public.
- Ability to present information concisely and effectively, both verbally and in writing.
- Self-motivated, enthusiastic, organized, attentive to details, and the ability to manage time and effectively function without close supervision.
- 1-2 years' experience in an administrative position, preferably in a not-for-profit setting
- High school diploma or equivalent; bachelor, or associate degree preferred.
- Ability to lift 30 pounds, stand for extended periods of time, and walk over rugged terrain.
Salary, Benefits & Schedule:
This is a full-time salary position. The schedule may vary depending on the program schedule. The salary range is $38,000-$42,000. Wave Hill's benefits are medical, dental, and vision insurance; paid time off; 401k, pension plan and life insurance.
The hiring salary range is dependent on the scope of work and responsibilities of the position. Salaries offered to candidates are based on numerous factors, including, but not limited to, the candidate’s experience, skills, training and certifications, education, and other factors in addition to the scope of responsibilities of the specific position.
