Corporate Team Administrator – Special Projects at Bedford Hills, NY

In partnership with management and functional department leaders (corporate), the Corporate Team Administrator will oversee and ensure policies, procedures and standard work are in place and followed to strengthen leases, contracts, fleet and vendor management.

What a day is like:

  • Facilities leadership and lease tracking/support – build facilities database and set up time fences for lease tracking and renewal – work with vendors on improvements, etc.
  • Manage vender relationships and negotiating discounts – evaluating spend data warehouse and third-party buying organizations
  • Partner with Fleet manager on program enhancements – work on single domicile formation and ensuring we have the asset tracking accurate
  • Audit expense reports and spend by team members to ensure that we are compliant against our T&E policies.
  • Provide support for executive assistants and other contractual obligations
  • Other processes activities to support the branches and functional leaders

.  What kind of person are we looking for?  Someone with:

  • 3-5 years of relevant experience in the following areas:
    1. Real Estate: facility lease agreements and negotiation
    2. Paralegal / Legal Administration
    3. Sourcing and negotiating vendor contracts
  • Bachelor’s degree or equivalent work experience
  • Highly proficient in Excel (data analysis and charting)
  • Proficient in Word and PowerPoint
  • Critical thinker with strong problem-solving abilities
  • Project management /continuous improvement (certification ideal)
  • Strong interpersonal and influencing skills
  • Readily pivot and prioritize changing demands
  • Ability to identify, research, and resolve problems as well as follow through on assignments with minimum direction.
  • Ability to work in a fast-paced environment with demonstrated ability to successfully multi-task projects.
  • Excellent written and verbal communication skills
